VIVA by TY is an all-in-one service and experience platform designed to connect residents with their landlord. Our mission is to create meaningful resident experiences by fostering community, offering seamless access to services, and making building amenities easily available.

As part of operating our application, we collect and process personal data to deliver and improve the services connected to the building associated with your profile. We understand that privacy is important, and we are committed to handling your personal information responsibly and transparently. This Privacy Policy explains how we collect, use, and protect the personal data you provide when using the app.

Please note that in most cases, the app developer (Hococo) acts solely as a data processor, meaning they process your information strictly on behalf of and under the instructions of us, your landlord. However, in limited cases, Hococo may act as an independent data controller.

The processing and storage of your personal information is governed by the terms outlined in this Privacy Policy.

What personal data is stored and used?

Hococo consists of an administration platform (including an admin app) for the landlord and his/her stakeholders in relation to the operation of a property and a resident application.

Some information is needed for the products and services to work. Other information is optional, but without it, the quality of your experience may be affected.

In most cases the Landlord does not need consent to store your data as the Landlord has a legitimate interest. In some cases you will need to give your consent to store some certain data, which we may request through product experiences, in order to enable certain features or device-based settings or when creating your account/profile. 

As a resident you will have the opportunity to actively participate in the community and benefit from the services within the building in which you live while always having direct access to your landlord through your app.

In order to provide the best possible tools for the landlord and the best experience for the residents we collect the following data:

Your basic data, the Optional data and the Social content as just described above is necessary for the purpose of the legitimate interest of your Landlord to provide better services in the building to which you live and for you as a resident, to create a closer connection between you and your landlord and your neighbor and to provide you with unique experiences.

Processing your history of purchased Services is necessary for the purpose of the legitimate interest of the Landlord (or third party suppliers) for the establishment, exercise or defense of legal claims and to fulfillment of their duties with respect to fulfill tax legislation.

Who can see your profile?

As a resident, your account is private, and only the landlord, their stakeholders (such as the caretaker), and members of your household can access your personal data. However, if you choose to participate in a community channel, engage in events, or interact with others, your account and the content you share will be visible to other users.

Who is the controller and who is the processor?

In most respects Hococo is only a data processor, and therefore acts on the instructions of your landlord, but in some few cases we will act as the data controller. Please find be the specific details below:

The purposes of collecting the data

Hococo processes personal data for the following purposes:

  • Delivery of digital tools, services and experiences for both the residents and landlords and their stakeholders eg caretakers and asset managers
  • Surveys, statistics and analyzes to monitor, test and improve hococo’s system/application and services

The processing of personal data will be limited to what is necessary for the purpose in question.

Sharing Personal Information

The following persons at Hococo will be able to access the personal data:

  • Employees of hococo’s suppliers who offer services 
  • Hococo employees who are engaged in the relevant services, incl community engagement managers
  • Developers or support who might need access to the data to help the Landlord, caretaker or the resident

Public authorities, as required by law, including in specific cases for the purpose of combating online fraud and other criminal activities or attempts to do so.

We may remove parts of data that can identify you and share anonymized data with other parties. We may also combine your information with other information in a way that it is no longer associated with you and share that aggregated information.

Personal data is stored in data centers (data processors) located within the EU.

Duration of storage

Hococo continuously deletes personal information which we are controller of when the data is not needed to fulfill the purpose for which they were originally collected. Personal data will under all circumstances be deleted 3 years after the end of the year you as a resident have deleted your account/moved out of the apartment.

Third party links

We are not responsible for the practices employed by any websites or services linked to or from our platform/service/application, including the information or content contained within them. Please remember that when you use a link that goes from our platform/service/application to another website or service. This Privacy Policy does not apply to those third-party websites or services. Your browsing and interaction on any third-party website or service, including those that have a link on our website, are subject to that third party's own rules and policies.

Security measures

Hococo secures personal information through both technical and organizational security measures to protect information against unauthorized access, tampering, destruction, deletion or loss of information.

Rights

You have the following rights regarding the personal data registered by hococo:

  • Access to disclose what personal information about you is registered by Hococo as a controller
  • Right to correct incorrect information about you registered by hococo as a controller
  • Right to delete information about you when the registration is no longer necessary for the purposes set out in these Privacy Policy and is not prevented by a task / duty that is incumbent on Hococo pursuant to Danish and EU law
  • Access to obtain or transmit the information you have personally submitted to Hococo in a structured, plain and machine-readable format, if applicable by email

In case you granted your consent to processing your Personal data, you have a right to withdraw that consent at any time.

Change of Privacy Policy

This Privacy Policy will be subject to continuous adjustments by Hococo, so please review it periodically. We may provide you additional forms of notice of modifications or updates as appropriate under the circumstances. Your continued use of Hococo or the Service after any modification to this Privacy Policy will constitute your acceptance of such modification.

We point out that in most respects Hococo is only a data processor, and therefore act on the instructions of your landlord, but in some few cases we will act as the data controller (please see previous paragraph).
